Services Administrator

This role supports a growing and well respected third sector organisation in the health field to deliver its front-line services and a diverse range of projects and events to help improve the lives of people with rheumatoid arthritis (RA) and juvenile idiopathic arthritis (JIA). The post holder will provide administrative support for two managers responsible for a range of activities both internally and externally.

You will support the:

  • Director of Services
  • Policy & Public Affairs Manager
  • Youth & Family Services Coordinator (JIA)

Main purpose of role

Events

  • Organising and supporting in person and virtual events ( Facebook Live and Zoom meetings) 
  • For in person events this will include arranging all logistics, ordering supplies, communications with attendees, venue liaison, stakeholder engagement and travel arrangements. 
  • For virtual events this will include testing with any guest speakers that they are familiar and comfortable with the relevant platform being used and hosting the event. 
  • Liaise with invitees and delegates. 
  • Supporting onsite management of events, including set-up and delegate registration. 
  • Ownership of checking JIA content on third party websites (we have content about our JIA services on all local council websites) 
  • Deal with the enquires from the JIA inbox when Young Persons Project Coordinator is on leave or absent

Communication

  • Updating contact details and running reports on a database (Salesforce) and updating content on the website (training will be given). 
  • Developing social media posts to promote all events and liaise with the Marcomms team to diarise such posts 
  • Liaise with the Young Person Project Co-ordinator to produce regular social media posts 
  • Providing support on Policy and Communications campaigns and media activities.

Administration

  • Acting as an additional public point of contact for enquiries regarding RA and JIA Services, 
  • Preparing for delivery of NRAS’ supported self-management programmes and ensuring all documents, resources and handbooks are delivered in advance of course delivery. 
  • Providing general administrative support across the team. 
  • Taking ownership of some projects as required.

  • Any other duties as required by the managers or the CEO/Senior Management Team and commensurate with the role.

Person Specification Criteria

QualificationsGCSE or equivalent in English and MathsProfessional qualification/training in administrative support

A-level and/or University Degree
ExperienceAt least 1 years’ experience in a busy office environment

Ability to manage own time with a variety of competing tasks and responsibilities
Previous experience of working/volunteering for a charity

Previous experience of working with children, young people and families

Experience in producing detailed proposals for events
KnowledgeUnderstanding of the administrative and communications needs and their application in a busy working environmentUnderstanding of RA and/or JIA and treatments

Understanding of the charitable and health environments

Understanding of equality, diversity and inclusion and its application in the workplace
Skills and abilitiesExcellent written and oral communication skills 

Excellent computer skills, previous use of Microsoft Word, Excel, PowerPoint and databases
